How FitMatchr Pty Ltd (ABN 51 689 689 647) collects, uses, shares and protects your personal information in the FitMatchr app and at fitmatchr.com.

This policy applies to personal information collected by FitMatchr Pty Ltd (FitMatchr, we, us, our) through the FitMatchr mobile app (the App) and our website at https://fitmatchr.com (the Website). We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), and any other privacy laws that apply to you where you use FitMatchr.
FitMatchr connects fitness studios and gyms with instructors for cover shifts and permanent roles. FitMatchr does not employ instructors and does not pay them: when a studio books an instructor, we hand over the instructor's documents and payment details so the studio can pay the instructor directly.
If you give us someone else's personal information (for example, an instructor's emergency contact), please make sure they know you have shared it and why.
We collect personal information directly from you when you sign up, complete your profile, upload documents, use the App or Website, or contact us. We also collect some information automatically (such as check-in records and device information), and from third parties where needed to provide the service — for example, ABN status from the Australian Business Register, and payment status from Stripe. Studios also give us information about instructors they work with through the App (such as attendance, ratings and document reports).
We will only use your information for another purpose where you would reasonably expect it, where you have agreed, or where the law requires or allows it.
We do not sell your personal information.
Providing a Tax File Number (TFN) is optional. If an instructor provides one, it is collected only so the studio that engages them can meet its tax and superannuation obligations, and it is shared only with that studio. We handle TFNs in accordance with the Privacy (Tax File Number) Rule 2015: we do not use TFNs as an identifier, we restrict access to them, and we do not disclose them other than as permitted by law. You are not legally required to give us your TFN.
Most of your information is stored in Australia. Some of our service providers and support contractors are located, or process information, outside Australia — including in the United States, Ireland, Japan and other countries where our contractors are based. We take reasonable steps to ensure overseas recipients handle your personal information in a way that is consistent with the APPs, including through contractual arrangements and by limiting what they can access.
We may send you service messages that are necessary to use FitMatchr (such as sign-in codes, booking confirmations, reminders and billing notices). We will only send you marketing about FitMatchr where you have agreed or where the law otherwise allows, and every marketing message will include a simple way to unsubscribe.
We store personal information with reputable providers and protect it with access controls, encryption in transit, and database rules that limit who can see what — for example, a studio can only see an instructor's documents and payment details after booking them. No system is completely secure, but we take reasonable steps to protect your information from misuse, interference, loss and unauthorised access, modification or disclosure.
If we become aware of a data breach that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.
We keep personal information for as long as your account is active and as needed to provide the service. When you close your account, we delete or de-identify your personal information within a reasonable time, except where we need to keep certain records — for example, billing and tax records (generally up to 7 years), or records relating to a dispute, safety issue or legal claim.
To delete your account and personal information, tap Delete my account in the App, or email contact@fitmatchr.com from the email address or mobile number linked to your account and we will confirm your identity and complete your request. See how to delete your account.
You can view and update most of your information in the App. You can also ask us for access to the personal information we hold about you, or ask us to correct it, by contacting us. We will respond within a reasonable time (generally within 30 days). If we refuse a request, we will explain why.
Our Website uses essential cookies and server logs to operate and keep the site secure. We may also use analytics and crash-reporting tools to understand how FitMatchr is used and to fix problems. You can control cookies through your browser settings.
FitMatchr is intended for people aged 18 and over. We do not knowingly collect personal information from anyone under 18.
If you have a concern about how we have handled your personal information, please contact us first. We will acknowledge your complaint, look into it, and respond within a reasonable time (generally within 30 days). If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at www.oaic.gov.au. If you are located outside Australia, you may also have rights under the privacy laws where you live, and you can contact us to exercise them.
We may update this policy from time to time. We will post the updated version on this page with a new "last updated" date, and where changes are significant we will let you know in the App or by email.
